Job Description:
The High School Registrar is responsible for managing and maintaining student records and ensuring compliance with state regulations. This role involves assisting students and parents with enrollment, transcript requests, and graduation requirements. The Registrar will also collaborate with school staff and administration to ensure smooth operations related to student data and records.
Enrollment, Transfers, and Withdrawals: Process student enrollment, withdrawals, and transfers, ensuring all necessary documentation is collected, verified, and updated in the system. Maintain meticulous records for compliance and future reference.
Master Scheduling and Graduation Tracking: Develop and manage the master schedule, track student course credits, and verify that all students meet the graduation requirements. Collaborate with counselors and administrators to ensure students are on track to meet their academic goals.
State Reporting and Audits: Support school administration during state reporting periods and audits by preparing, reviewing, and providing all necessary records and documentation. Ensure all submissions are accurate, timely, and compliant with state and federal guidelines.
Inquiries and Communication: Serve as the primary point of contact for inquiries regarding student records, policies, and compliance from students, parents, staff, and external agencies. Provide guidance and clarification as needed, ensuring all communications are handled professionally and confidentially.
Compliance and Record Review: Regularly review student files for accuracy and completeness, ensuring all required documents are obtained and maintained for compliance purposes. Stay informed on changes in state and federal regulations to ensure ongoing compliance.
Error Report Management: Regularly read and review error reports generated from student information systems and take prompt action to correct any validation errors, ensuring data integrity.
Cumulative Records and End-of-Year Reporting: Prepare and maintain cumulative records, ensuring they are accurate and up-to-date. Compile and submit end-of-year reports in accordance with school policies and state requirements.
Transfer of Records: Prepare and send student records to other schools for transfer students, following all relevant guidelines and ensuring that records are transferred securely and in compliance with regulations.
Additional Responsibilities: Perform other duties as assigned or required, including participating in professional development opportunities to stay current with best practices in student records management and compliance.
Minimum Qualifications:
Valid Arizona IVP Fingerprint clearance card
Experience working with culturally diverse families and communities, and have otherwise demonstrated a commitment to equity and strengthening engagement of a diverse community and skill in communicating with a diverse population.
