Salary Range:

$18.00 - $24.00 USD hourly.

The Student Record and Compliance Coordinator II is responsible for the collection and maintenance of student records in accordance with ARS 15-828. The role ensures that student grades are accurately reflected on transcripts, including correct course weighting, credit assignment, credit types, and compliance with ASU Prep’s graduation requirements in accordance with ARS 15-701. The Coordinator II handles second-level support for both internal and external inquiries about student records and transcripts. Additionally, the role collaborates with various departments to develop and update policies to maintain accurate transcripts and support ASU Prep’s goals of honoring student achievements.

QUALIFICATIONS:

  • High school diploma or general equivalency diploma (GED).

  • An Associate’s Degree, or equivalent, preferred.

  • 2-3 years of experience in an office assistant or clerical role.

  • 2 years of experience in customer service.

  • Proficient in Microsoft Office programs, including Word, Excel, and PowerPoint.

  • Bilingual in Spanish, preferred but not required.

  • Active AZ Department of Public Safety (DPS) IVP Fingerprint Clearance Card.

  • Any equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities may be considered. 

DUTIES AND RESPONSIBILITIES:

  • Ensure student records are maintained in compliance with school, district, state, and federal policies, while identifying and implementing process improvements to increase efficiency and scalability. 

  • Collaborate across departments to streamline workflows, reduce administrative burden, and leverage technology to enhance compliance and data accuracy. 

  • Ensure student records are maintained in accordance with the county record retention schedules for public schools, and maintain accurate permanent student records and test scores.

  • Provide escalated support for external and internal inquiries/requests regarding Student Records and Transcripts via phone, zoom, email, and tickets.

  • Monitor, track, and ensure efficient policy and practice for documenting concurrent college courses.

  • Support and propose policies and procedures that ensure student record compliance with Arizona Revised Statutes, Section 15.

  • Communicate with other schools and external agencies regarding student records.

  • Accurately and promptly fulfill record requests.

  • Provide training for staff and maintain materials related to student transcript entries.

  • Oversee incoming student credits, ensuring they are valid and transferable in accordance with school, network, and state/federal policies.

  • Work with school counselors and learning success coaches to ensure students are enrolled in the right courses for credit transfer.

  • Additional duties may be assigned as necessary.

KNOWLEDGE, SKILLS AND ABILITIES 

  • Ability to work efficiently under pressure while maintaining attention to detail, professionalism, and a positive attitude, even with frequent interruptions.

  • Knowledge of school and district policies related to student transcripts and records.

  • Strong ability to maintain confidentiality and communicate effectively.

  • Strong multitasking ability in a fast-paced environment.

  • Ability to meet deadlines and prioritize work accurately.

  • Proficiency in running system-based reports and advanced skills in Microsoft Excel and Outlook, with a willingness to learn new software.

  • Ability to communicate with tact and diplomacy at all times.

  • Experience navigating Student Information Systems and Customer Relationship Management Software (e.g., Infinite Campus, Salesforce).

  • Strong verbal and written communication skills.
