Salary Range:

$48,000.00 - $57,500.00 USD annually.

The primary areas of focus for the Payroll and Compliance Assistant are payroll and grants. The Payroll and Compliance Assistant will work respectively with ADP Workforce Now and Workday payroll processing team and the ASU Prep staff to ensure that proper documentation for payroll is received and to assist with staff payroll related questions. The Payroll and Compliance Assistant will also manage documentation related to grant funded employees and assist the Grant Director with data tracking. It is expected that the duties and responsibilities will be performed with a high level of accuracy and attention to detail.

QUALIFICATIONS:

  • Bachelor’s degree in Business,  Finance , Accounting, or related field, required.

  • 3-5 years experience in business, compliance, or related operations roles.

  • 1-3 years of payroll experience, preferred

  • Experience with ADP Workforce Now, WorkDay and ADE Grants Management Enterprise, preferred. 

  • Active AZ Department of Public Safety (DPS) IVP Fingerprint Clearance Card.

  • Any equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities have been achieved. 

DUTIES AND RESPONSIBILITIES:

  • Collect, review, and submit all payroll documentation required to process employee payroll every pay cycle. 

  • Make recommendations so that ASU Prep stays compliant as it relates to all required tax filings. 

  • Lead the mitigation of financial risk for all federal withholding and unemployment accounts for each state the Company is established in.

  • Manage the connection between the ADP and WorkDay payroll processing team and ASU Prep staff.

  • Responsible for problem-solving employee inquiries regarding payroll policies and procedures. 

  • Conduct comprehensive payroll research and analysis, addressing complex payroll-related inquiries with timeliness, accuracy, and efficiency.

  • Deliver exceptional customer service by fostering positive relationships with employees and stakeholders, responding to inquiries with professionalism, and providing timely, effective solutions to payroll-related issues.

  • Lead training initiatives for new and existing employees on how to access and navigate payroll systems to ensure ongoing understanding and compliance with payroll procedures.

  • Collaborate with the Grant Director on key responsibilities, including managing grant applications and tracking data as assigned, ensuring alignment with organizational goals and grant requirements.

  • Oversee the collection and documentation of time and effort records for all grant-funded employees, ensuring compliance with federal and state guidelines, and maintaining accurate records for audit and reporting purposes.

  • Provide critical support for grant-related documentation, ensuring proper processing of purchases and supplemental employee pay, and ensuring all actions are compliant with the funding agency’s requirements and internal policies.

  • Additional finance and accounting duties may include ensuring all data is authorized for payment and coded appropriately, enter/review/approve purchase requisitions, prepares accounts payable invoices and payment processing.

  • Attend finance department and company-wide meetings, sometimes assisting with financial reporting to managers and executives.

  • Reconcile any discrepancies or errors identified by conversing with employees and/or clients.

  • Stay abreast of current payroll laws and make recommendations, all necessary changes and ensure processes and policies follow these rules.

  • Provide backup clerical support for the business operations department as assigned. 

  • Facilitate, as appropriate, communication with the employee and Benefits Team regarding items that cross both departments.

  • Additional duties may be assigned as necessary.

KNOWLEDGE, SKILLS AND ABILITIES 

  • Proficient in ADP Workforce Now, Workday, and ADE Grants Management Enterprise with a strong ability to leverage these platforms for efficient payroll processing, compliance tracking, and grant management.

  • Extensive knowledge of federal, state, and departmental regulations governing payroll, ensuring adherence to legal requirements and industry best practices.

  • Exceptional communication skills, both verbal and written, with the ability to convey complex information clearly and persuasively to diverse audiences.

  • Proven ability to handle sensitive and confidential matters with the utmost discretion and sound judgment, maintaining trust and integrity.

  • Strong professional demeanor with a demonstrated capacity for initiative-taking and problem-solving in dynamic environments.
    Highly adaptable with learning agility and robust critical thinking skills, able to quickly acquire new knowledge and apply it effectively in complex situations.

  • Expertise in contract interpretation and management, ensuring alignment with compliance requirements and organizational objectives.

  • In-depth understanding of tax compliance and regulations, with the ability to ensure accurate reporting and avoid risk.

  • Skilled in grant writing and funding management, with a track record of preparing detailed proposals and reports to secure and manage grants.

  • Demonstrates superior multitasking abilities in high-energy, fast-paced environments, ensuring the timely completion of multiple priorities with precision.

Occasional travel may be required for site visits, meetings, trainings and/or conferences. Locations may vary and may require overnight stays.
